Operation Assistant Intern
Join our Design Ops team as a Design Operations Assistant — keep assets tidy, data accurate, and docs crystal clear while growing with a collaborative, learning-focused environment.
The Design Operational Assistant is responsible for supporting the Design Department with data entry, file management, documentation updates, and other operational support tasks. The purpose of the role is to maintain accurate records and organized resources that help the department run efficiently. This internship program will begin around July 2026 with a 6-month to 1-year period, as agreed with the mentor.
Main Responsibilities:
Organize and manage design assets (images, vectors, etc.), including converting file formats (JPEG/SVG), categorizing, and maintaining a well-structured storage system in Google Drive.
Perform accurate data entry and regularly update information across internal platforms such as Google Site, wiki, and tracking sheets.
Assist in maintaining and updating internal documentation to ensure content is clear, relevant, and easily accessible.
Support team operations by taking meeting notes and preparing concise summaries of discussions, workshops, or key updates.
Compile and organize data from various sources into structured summaries or simple reports.
Ensure consistency in file naming, data organization, and documentation standards, while proactively identifying and flagging any discrepancies.
Requirements:
Educational background: Currently pursuing from Administration or related fields.
Technical Skill:
Good attention to data accuracy and detail in administrative tasks
File and digital asset organization skills (naming conventions, categorization, folder management)
Proficiency in Microsoft Office, especially PowerPoint
Comfortable using digital platforms, online collaboration tools, and AI-assisted tools responsibly
Familiar with Google Workspace tools
Basic understanding of Google spreadsheet features and formulas
Basic knowledge of design tools (Adobe Illustrator / Photoshop) is a plus
Basic understanding of file formats and digital assets (JPEG, PNG, SVG, PDF, etc.) is a plus
Soft Skill:
Strong attention to detail and accuracy
Good organizational and time management skills
Able to work independently and manage tasks responsibly
Professional working attitude and willingness to receive feedback
Ability to follow instructions, processes, and work systematically
Good communication and comprehension skills
Willing to learn and adaptable to new tools, systems, and technology developments
Proactive attitude with willingness to take initiative is a plus
Logical thinking and problem-solving ability are a plus
